Zone (Hampshire) Ltd is the data controller for the personal information described in this policy. We provide bathroom, plumbing, heating, gas and MVHR services across Hampshire.

Information we collect

Only what we need to help and operate safely.

Enquiries

Your name, telephone number, optional email address and postcode, the service you select, your message, and any photographs or job details you send by phone or email.

Website visits

Our hosting provider may receive technical data such as your IP address, browser or device, pages requested, request time, referring page and security logs so the site can be delivered and protected.

Work and records

If an enquiry becomes a job, we may keep property and appointment details, correspondence, quotations, work records, invoices and payment records needed to provide and administer the service.

Please do not send sensitive personal information unless it is genuinely needed for your enquiry. We do not use your information for automated decisions or profiling.

Responding to enquiries

We use your details to understand the work, confirm whether we can help and provide a quote or arrange a visit. We do this to take steps at your request before entering into a contract.

Providing our services

If you ask us to carry out work, we use the information needed to book, deliver and administer that work, take payment and keep in touch. This is necessary to perform our contract with you.

Running the business safely

We may use limited information to secure the site, prevent misuse, manage our records and improve how we handle enquiries. We rely on our legitimate interests where they do not override your rights.

We keep and use certain financial, tax and business records where the law requires us to do so, and may provide information to an authority when we have a legal obligation.

We do not sell your personal information or add enquiry details to unrelated marketing lists.

Sharing and transfers

Who may process your information.

Netlify, Inc. hosts the site and processes form submissions on our behalf. Microsoft provides the Hotmail email service we use to receive and answer enquiries. We may also use trusted IT, accounting and professional service providers, or share limited job information with suppliers and trades where it is necessary to provide the service you requested.

We only share what is reasonably needed and may disclose information to an authority, court, insurer or adviser where required by law or to establish, exercise or defend legal claims.

These providers may process information outside the UK, including in the United States. Where a restricted transfer takes place, we require an appropriate safeguard, such as UK adequacy regulations or approved contractual protections.

How long we keep it

We do not keep information indefinitely.

We delete the Netlify dashboard copy of a form submission within 90 days after it has been handled or moved into the appropriate business record. Enquiries that do not become jobs are normally deleted or anonymised within 12 months of our last contact. If we carry out work, relevant quotation, job, invoice and payment records may normally be kept for six years from the end of the relevant financial year where needed for tax, accounting, contractual or legal purposes.

Technical security logs are kept in line with our hosting provider's operational retention periods. We may keep information for longer where a dispute, legal requirement or safeguarding issue makes that necessary, and we delete or anonymise it when it is no longer needed.

We do not use analytics or advertising cookies. The site currently sets only the cookie below when you ask us to remember your choice.

The cookie is provided by Zone Hampshire, contains only a simple acknowledgement value and does not contain your contact details or track you across sites. It is set only if you choose “Remember my choice”. “Close for now” stores nothing. You can delete the cookie using your browser settings, which will make the notice appear again. If we introduce any non-essential cookies or similar technologies in future, we will update this policy and ask for your consent before setting them.
